The challenge

A slow response is a lost opportunity

Every new freight opportunity starts with an email: at what price can Asavinter do a lane? These rate requests are sprayed across many operators at a time. So, booking the load is a competition. Not only do you need a good price but you need to be the first to hit reply.

Writing a reply takes work. For each answer, you have to:

  • Read unstructured emails across multiple languages
  • Decipher the shipment details, constraints and requirements
  • Calculate the price based on distance, truck type, location, urgency
  • Write a professional reply

When done by hand, operators lose hours writing custom responses. Further, they have to keep an eye on every shipment because even being an hour late to catch a new request is lost revenue.

Covering the load is the second race

Once the order is confirmed it needs a carrier. Posting the load to the freight exchange, keeping the advert alive and chasing carriers that might fit is steady, repetitive work spread across the group's teams.

What Guided does

Prices the request

The team forwards a rate request to the agent. It reads the email, pulls out the origin, destination, the number and format of pallets and any special requirements, then queries Asavinter's pricing API to get a real price rather than an estimate.

It prices across Asavinter's three transport offers, groupage (messagerie), full truckload (affrètement) and express, and returns them with availability, so the customer gets all the options. It takes into account the details that change a price: tailgate at pickup or delivery, delivery by appointment, and dangerous-goods constraints (ADR).

It also knows what Asavinter cannot carry. When a request can't be priced, because information is missing or a constraint isn't supported, the agent escalates the file internally rather than guessing.

The reply goes back as a structured quote email in French, in Asavinter's own format and signature, with the original request and its attachments attached underneath.

Median turnaround: 54 seconds from request to priced quote in the customer's inbox.

For confirmed loads, the agent posts the offer to the freight exchange, contacts carriers that work the lane, and returns the ones with availability and a price. The team decides who gets the load.
